Gather Contact Data Fast

Capture Contact data quickly from business cards

Look at your desk. Is there a stack of business cards sitting there with a rubber band around it? Two stacks? Those contacts are not doing you any good sitting on your desk. The most likely reason that they are not in your computer is that it will take time to enter them into your contact manager — and you have better things to do. Enter the card scanner — time saving gadget du jour. Run your cards through this little jewel and, voila!, the contact data is presented to you ready for a final edit, along with a picture of the card. Scan, edit, post to Outlook — snappy!

PDF File Makers

What office worker’s day would be complete without sending out documents? Since PDF files are smaller and nearly everyone in the known universe has a PDF viewer, I usually send out PDF files instead of Word documents.

Here are two free time saving tools in the PDF category: CutePDF and doPDF. They both install like a printer on your compure and work similarly: you select them when printing any document (Word, Excel, PowerPoint, Visio, etc.) and the tool then prompts you where to save the resulting PDF file.

Not only will you save time creating PDF files with these tools, but you’ll save your recipients time opening the files. This is especially true if they are using the very fast Foxit PDF reader. Plus, because you send them a PDF, you’ll know how the content will look when it is printed. No worries about how their printer renders a document differently than yours.
